What you can delete
From CauceOS you can delete:
- Your entire account — all your data, sessions, reports, transcriptions, and settings.
- Individual sessions — a specific session with its transcription and report.
- Individual reports — only the report from a session, without deleting the session or transcription.
- Individual transcriptions — only the transcribed text from a session, without deleting the report.
How to request deletion
Delete an individual session or report
- Go to Sessions or Reports in your side menu.
- Open the session or report you want to delete.
- Click the three dots (options menu) in the upper right corner.
- Select "Delete session" or "Delete report".
- Confirm the action in the confirmation dialog.
Deletion is immediate and cannot be undone.
Delete your entire account and all your data
- Go to Settings → Data → Delete all my data.
- Read the summary of what will be deleted.
- Type your email to confirm the action.
- Click "Request complete deletion".
You will receive a confirmation email within the next 5 minutes. Deletion is processed within the next 7 business days.
What happens to each type of data
| Data type | What happens |
|---|---|
| Session transcriptions | Permanently deleted from active storage |
| Post-session reports | Permanently deleted |
| Processed audio files | Permanently deleted (we do not store raw audio) |
| Your profile and settings | Permanently deleted |
| Billing history | Retained for 7 years due to fiscal and legal obligations |
| Access and security logs | Retained for an additional 90 days for security reasons |
| Clerk data (authentication) | Deleted from Clerk in the same process |
The billing history data that is retained is strictly what is legally required (date, amount, payment method, country). It does not include transcriptions or session content.
Processing time
- Individual sessions and reports: Immediate deletion.
- Complete account deletion: Processed within 7 business days.
- Confirmation email: You will receive an email when the process is complete.
During the processing period of a complete deletion, your account is set to "pending deletion" status and you cannot create new sessions. You can cancel the deletion within the first 24 hours from the confirmation email.
Data recovery
Deleted data cannot be recovered. Once the deletion is processed, there is no technical way to restore the information.
If you have data you want to keep before deleting your account:
- Download reports you want to keep as PDF from Reports → Export PDF.
- Export your transcriptions if you need them (available from Sessions → Export transcription in TXT format).
- Download your invoices from Settings → Billing → Invoices.
Do this before requesting deletion.
Common questions
What happens to my clients' data? Data related to your clients (transcriptions and reports) is deleted along with yours. CauceOS does not have independent access to that data and does not retain it once you delete it.
Can I delete only the data for a specific client? You can delete the sessions and reports linked to that client individually. There is no client view currently, but you can filter by session date or session name (if you named them with the client's name).
Does deletion also apply to backups? Yes. Backups are updated in the normal backup cycles. Within 30 days of deletion, the data will no longer be present in any active backup.
Do I have the right to export my data before deleting it? Yes. You can request a complete export of your data by writing to us at support@cauceos.com. We will provide a file with all your information in a readable format.
What happens to my subscription if I delete my account? Account deletion includes subscription cancellation. No additional charges are generated after the deletion confirmation. If you had remaining paid time, the same policy as for cancellations applies: it remains active until the end of the cycle.
