Billing, plans, and session caps

How CauceOS plans work, what counts as a session, what happens when you reach the monthly cap, how to upgrade or downgrade, and the 14-day refund policy.

This guide explains everything you need to know about billing in CauceOS: how plans are structured, what counts as a session, what happens if you reach the limit, and how to manage your subscription.

The Business plan requires a minimum of 3 users. The annual discount is 20% on any paid plan.


What counts as a session

A session is counted when the virtual bot successfully joins a meeting. Specifically:

  • Counted: The bot joins the meeting and remains active for at least 60 seconds.
  • Not counted: The bot attempts to join but the meeting is not available or is removed before 60 seconds.
  • Not counted: Test sessions created from the sandbox environment (if active on your account).

On the Free plan, the session cuts off automatically at 30 minutes. Time that passes after that limit is not processed, but the session has already been counted.

You can see your session count for the current month under Settings → Billing → This month's usage.


What happens when you reach the cap

When you reach your plan's session limit, the system notifies you by email and with a banner in your panel.

On the Free plan: Once you use up the 2 monthly sessions, you cannot create new sessions until the next billing cycle or until you upgrade to a paid plan.

On Pro plans: Once you use up the 20 monthly sessions, you also cannot create new sessions until the next cycle or until you upgrade. There is no automatic overage charge.

On Business plans: There is no session cap. Business plans are unlimited.

The billing cycle renews on the same day of the month you subscribed. If you subscribed on the 15th, your cap renews on the 15th of each month.


How to upgrade or downgrade

Upgrade

Go to Settings → Billing → Plans. Click "Change plan" next to the plan you want to upgrade to. The charge is prorated: you pay only for the remaining days in the current cycle at the new plan's price.

The upgrade is immediate — you can start creating sessions with the new limit right away.

Downgrade

Downgrading is also done from Settings → Billing → Plans. Unlike an upgrade, a downgrade does not apply immediately: it takes effect at the start of the next billing cycle. Until then, you continue with your current plan.

No credit or refund is generated for the remaining time on the current plan when you downgrade.

Cancellation

You can cancel your subscription at any time from Settings → Billing → Cancel subscription. When you cancel:

  • Your plan remains active until the end of the current billing cycle.
  • At expiration, you automatically move to the Free plan (2 sessions/month).
  • Your data and reports remain accessible during the standard retention period (90 days).

Refund policy

CauceOS offers a full 14-day money-back guarantee for new paid subscriptions.

Conditions:

  • Applies only to the first paid subscription (not to renewals).
  • You must request the refund within 14 days of the first charge.
  • Does not apply if you have used more than 5 sessions during that period.

How to request a refund: Write to us at support@cauceos.com with the subject "Refund request" from the email associated with your account. We process refunds within 5–7 business days.


Common billing questions

What currency do you charge in? Everything in USD. If your card is in another currency, your bank applies the conversion at their exchange rate.

What payment methods do you accept? Credit or debit card (Visa, Mastercard, Amex) through Stripe. We also accept PayPal.

Do you issue tax invoices? Yes. From Settings → Billing → Invoices you can download each invoice in PDF with your company or practice details. To add tax information, go to Settings → Billing → Billing details.

Can I pause my subscription? We do not currently offer subscription pause. You can downgrade to the Free plan (cancel) and re-subscribe when you need it.

What happens if my payment fails? You will receive an email notice. You have 7 days to update your payment method before the account moves to the Free plan. During those 7 days, the service remains active.
