How to export session reports to PDF
Step-by-step guide to exporting a CauceOS post-session report to PDF, what the document includes, customization options, and how to download previous reports.
After each session, CauceOS generates a structured report that you can export to PDF with one click. This document is designed to be filed, shared with supervisors, or used as a clinical note.

Where to find the report
When a session ends, the report appears automatically under Reports in the left menu of your panel. The most recent report appears first. The system takes between 30 and 60 seconds to generate it after the session ends.
If you do not see the report after 2 minutes, refresh the page. If the issue persists, write to us.
What the PDF includes
The PDF content varies depending on your modality template, but generally includes:
Header
- Your practice name or username (configurable)
- Session date and duration
- Modality and vertical
Report body The structured content generated by the system. Depending on your template:
- SOAP: Subjective, Objective, Assessment, Plan
- DAP: Data, Assessment, Plan
- STAR: Scorecard per competency evaluated with session evidence
- GROW: Stated goal, Reality, Options explored, Commitments
- 1-on-1: Agenda, points discussed, commitments, next steps
Notable alerts section (optional) If there were Warning or Crisis alerts during the session, they appear summarized in this section for clinical reference.
Footer
- Internal session number
- Disclaimer: "Report generated with AI assistance. The professional judgment of the therapist/coach prevails over any system inference."
How to export
From the open report:
- Open the report you want to export from Reports in your panel.
- Make sure the report is in Finalized status. If it is still a draft (editable), finalize it first by clicking "Finalize report".
- Click the "Export PDF" button in the upper right corner.
- The PDF will download automatically to your downloads folder.
Note: Only finalized reports can be exported to PDF. Drafts cannot be exported to avoid incomplete documents in clinical files.
Header customization
You can customize the header that appears in the PDF from Settings → Profile → Practice details:
- Practice name — appears as the main title of the header
- Logo — upload a logo in PNG or JPG (max 2MB). Appears in the upper left corner of the PDF
- Professional name — can be different from the username
- Credentials — free text for license, registration number, etc.
- Contact details (optional) — email or phone that appears in the header footer
These are your practice details, not the client's. The client's name never appears in the exported PDF unless you manually include it in the report body.
Previous reports
All your reports are stored in CauceOS during the configured retention period (90 days by default). You can access any previous report from Reports and sort them by date, session, or type.
Finalized reports can be exported at any time while they are within the retention period. After the retention period, reports are archived and are no longer accessible from the standard panel (you need to request them from support).
Common questions
Can I edit the PDF directly? No. The PDF is a final document. If you need to make changes, edit the report in CauceOS, finalize it again, and export a new version.
Does the PDF include the full transcription? By default, no. The report body is the structured summary generated by the system, not the literal transcription. If you want to include transcription excerpts, you can copy and paste them into the report editor before finalizing.
Can I export multiple reports at once? Currently export is one at a time. Batch export is on our roadmap.
Is the PDF encrypted? The PDF is generated securely and the download uses HTTPS. We do not apply a password to the PDF by default — that decision belongs to the professional according to their filing policies.
Can I share the report directly from CauceOS? Currently the flow is to download and send via your usual channel. Direct sending from the platform is planned for a future version.
