General questions
Does CauceOS replace the therapist?
No. CauceOS is an assistance co-pilot, not a mental health provider. The system listens to the session and supports the professional with real-time information (crisis alerts, question suggestions, structured transcription), but all clinical decisions are made by the therapist.
This distinction is not just legal or marketing: it is the ethical foundation of the product. A system that "diagnoses" or "treats" without qualified human supervision would be dangerous in the mental health domain. CauceOS does neither. It assists the professional. The professional is the therapist.
Is it legal to record therapy sessions with AI assistance?
Legality depends on your country's regulatory framework and your professional association's ethical code. In general terms, the most important condition is explicit informed consent from the client before the session begins.
CauceOS facilitates this: the bot announces its presence in the session's language when joining the meeting. That notification activates implied consent by continuation. However, the more robust standard (and the one we recommend) is obtaining explicit documented consent from the client before the first assisted session.
Check the guidelines of your licensing board or professional association for the specific standard in your jurisdiction.
Is my data private?
Yes. Session transcriptions have a level of confidentiality equivalent to clinical notes, accessible only to the professional who owns the account. We do not share them with third parties, we do not use them to train AI models, and they are encrypted at rest and in transit.
The standard retention period is 90 days, after which data is securely archived or deleted according to your settings. You can delete all your data at any time from your account dashboard.

How does crisis detection work?
The system analyzes the transcript in real time and identifies language patterns associated with risk situations: suicidal ideation (direct and indirect), self-harm, domestic violence, clinically significant dissociation, and acute-escalation substance abuse.
When it detects a signal, it does not interrupt the session. It shows a discreet notification in the professional's dashboard with three elements: the verbatim quote that triggered the alert, the risk category, and a disclaimer reminding that this is algorithmic assistance, not a diagnosis. Clinical interpretation always belongs to the professional.
The system does not call emergency services or contact the client directly under any circumstances.
Are my transcriptions used to train AI?
No. Session transcriptions are private data belonging to the professional and the client. They are never used to train or improve AI models, our own or third parties'. Audio and text processing occurs in real time for the current session and is stored encrypted in your account.
If you delete your data, it is removed from our systems within the timeframe established in our privacy policy.
What happens to my data if I cancel my subscription?
Upon cancellation, your account moves to the free plan. Your data (transcriptions, notes, reports) remains accessible during the standard retention period (90 days). After that period, data is deleted or archived according to your settings.
If you want to delete all your data before that timeframe, you can do so from Settings → Account → Delete my data. Deletion is permanent and irreversible.
Is CauceOS compliant with data privacy regulations?
CauceOS complies with applicable data privacy regulations based on the user's jurisdiction: personal data protection, right of access and deletion, limited retention, encryption at rest and in transit, and informed consent. Specific legal details are in our privacy policy and terms of service.
Functionality
Can I export my notes to another platform?
Yes. Post-session reports are exported as PDF from Sessions → [Session] → Export report. The PDF includes the structured clinical note (SOAP, DAP, or whichever format you configured), the full transcript, and any logged alerts.

Can I use CauceOS without recording audio?
Not in the standard flow. CauceOS works as a bot that joins the video call and processes audio in real time to generate the transcript, alerts, and post-session report. Without audio, there is no transcription or live assistance.
If you have a specific use case that does not involve audio, write to us. We evaluate requests on a case-by-case basis.
How many languages does it work in?
In the current version (MVP): globally neutral Spanish and English. The system automatically detects the session's language and processes the transcript in that language. The post-session report is generated in the session's language.
Additional languages (Brazilian Portuguese, Canadian French, and others) are planned for later product phases.
Does it work on Google Meet, Zoom, and Microsoft Teams?
In the current version: Google Meet and Microsoft Teams. Google Meet is available from Sprint 1. Microsoft Teams is added in Sprint 4.
Zoom is on the roadmap but has no confirmed date. If you use Zoom as your primary platform, you can join the waitlist at cauceos.com/zoom.
Does it work offline?
No. CauceOS requires an internet connection to join the video call session, process the transcript in real time, and generate alerts. It is an online service by design.
Do I need special hardware?
No. You only need a computer with internet access and Google Meet or Microsoft Teams. The bot joins the session from the cloud. You do not need to install additional software or use special hardware.
Can it confuse similar voices in speaker diarization?
In couples or group sessions where two voices have similar timbre, diarization may incorrectly assign some phrases to the wrong speaker. The system improves over time within the session as it accumulates speech patterns. If diarization has visible errors, you can correct them manually in the transcript before generating the report.
What should I do if I find an error in the transcript?
You can edit the transcript directly in the session panel before generating the report. Click the segment you want to correct, edit the text, and save. Changes are recorded. The original transcript is also preserved for reference.

Is there a free version?
Yes. The Free plan includes 2 sessions per month of up to 30 minutes each. It does not include AI reports. It is permanent, not a time-limited trial.
Comparisons
How does it compare to Hedy.ai?
Hedy.ai is the most direct competitor in live session assistance. The main difference is clinical focus and depth: CauceOS is designed for mental health and HR professionals with specific clinical templates (SOAP, DAP, Gottman, EFT, STAR), categorized crisis detection, and native Spanish support. Hedy.ai is a generic coaching product without clinical specialization or native Spanish support.

How does it compare to Mentalyc?
Mentalyc is a post-session documentation product. It generates clinical notes AFTER the session ends, from recorded audio. CauceOS works LIVE: during the session, the professional receives alerts and suggestions in real time. It also generates the post-session report. The difference is that CauceOS is present during the session; Mentalyc only after.
